Zoho vs HubSpot: price and feature trade-offs
Zoho CRM has a free edition for up to 3 users that includes data import/export (exports are capped at 10 on Free), workflows, and 5,000 API calls/day. Paid editions are Standard, Professional, Enterprise, and Ultimate. Zoho CRM Plus starts at $20/user/month (source: https://www.zoho.com/crm/zohocrm-pricing.html, verified 2026-10-14). Per user per month (monthly / annual billing): Standard $20 / $14, Professional $35 / $23, Enterprise $50 / $40 (source: https://www.zoho.com/en-us/crm/zohocrm-pricing.html, verified 2026-10-14).

Honest take: Zoho is usually the cheaper CRM per seat. People switch to HubSpot for usability, marketing integration, and its ecosystem, not to save money. If cost is your main driver, staying on Zoho is a reasonable choice.
Pros and cons
HubSpot pros: an easier UI, marketing and sales on one platform, and a large integration marketplace. HubSpot cons: higher cost per seat at comparable tiers (e.g., Sales Pro at $90/seat annual plus a $1,500 onboarding fee, vs. Zoho Professional at $23/user annual; sources above), and fewer built-in inventory/CPQ features than Zoho Professional (Zoho's page lists inventory management and CPQ in Professional, verified 2026-10-14).
Field and module mapping
| Zoho | HubSpot |
|---|---|
| Leads | Contacts (lifecycle = Lead) |
| Contacts | Contacts |
| Accounts | Companies |
| Deals | Deals |
| Pipelines / Stages | Deal pipelines / stages |
| Tasks, Calls, Meetings | Activities |
| Custom modules | Custom objects (HubSpot Enterprise only) (source: https://knowledge.hubspot.com/object-settings/create-custom-objects, verified 2026-10-14) |
Export from Zoho
Export each module to CSV, or request a full Data Backup (Setup → Data Administration → Data Backup; admins only). Backups can run monthly, twice a month or weekly (weekly is paid except on Ultimate). Paid editions get 2 free backups (Ultimate gets 4), and download links last 7 days (source: https://help.zoho.com/portal/en/kb/crm/data-administration/data-backup/articles/requesting-data-backup, verified 2026-10-14). On Free, exports are limited to 10 (Zoho pricing, verified 2026-10-14).
Import into HubSpot
Open a HubSpot account. Create custom properties, then import companies → contacts → deals with association columns, using a single file or multiple files that share a common column. Association labels require Professional or Enterprise (source: https://knowledge.hubspot.com/import-and-export/import-objects, verified 2026-10-14).
Deals and pipeline stages
Recreate each Zoho pipeline and its stage probabilities in HubSpot before importing deals, then map each stage name exactly.
Notes, attachments and activities
Notes can be imported. Import2 can migrate Zoho attachments but not email history or custom objects (source: https://help.import2.com/en/articles/8512317-what-objects-are-supported-for-zoho-crm-migrations, verified 2026-10-14). Plan to archive email history separately.
Rebuilding automation
Zoho workflows, blueprints, and Zia AI rules don't transfer. Document them first, then rebuild them as HubSpot workflows (Professional or Enterprise; Starter only gets limited simple workflows) (source: https://knowledge.hubspot.com/workflows/create-workflows, verified 2026-10-14).
FAQ
Can I run both during the switch? Yes. HubSpot's own Zoho CRM Data Sync app syncs contacts, leads, accounts and deals both ways (custom field mappings need Data Hub Starter or higher) (source: https://ecosystem.hubspot.com/marketplace/listing/zoho-crm-data-sync, verified 2026-10-14).
